Four letters every employer needs
- Appointment letter — required by section 5 of the Bangladesh Labour Act 2006 for every worker. It states the post, joining date, salary, probation and main terms.
- Experience certificate — given when an employee leaves, confirming the post and period of service.
- Salary certificate — requested for bank loans, credit cards, visas and tenancy.
- Release letter — accepts a resignation and confirms the last working day.
Salary breakdown
Bangladeshi salaries are usually split into basic, house rent, medical and conveyance. A common pattern is basic 50–60% of gross and house rent 50% of basic. Basic matters because overtime, festival bonus, gratuity and provident fund are calculated on it.
Good practice
- Give a reference number and keep a copy of every letter in the employee file.
- Have the employee sign the duplicate appointment letter as acceptance.
- Sign certificates by an authorised person and use the company seal.
- Never issue a salary certificate that does not match payroll — banks verify it.
Keep salaries, leave and attendance in one place with a POS or HR system, and these letters take seconds.
